Privacy Policy
This Privacy Policy explains how Tandem Coaching Partners LLC (“Tandem,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you visit our websites, contact us, subscribe to our emails, use our tools, buy from us, take part in our programs, or work with one of our coaches. It covers tandemcoach.co and its subdomains, our checkout, the learning and community platform at community.tandemcoaching.academy, our assessment and practice tools, and the emails we send.
Tandem Coaching Partners LLC, which also does business as Tandem Coaching Academy for its coach-training programs, is the business responsible for your personal information (the “controller” under European data-protection law). We are located at 104 E Ovilla Rd, Red Oak, TX 75154-1278, United States. Privacy questions and requests may be sent to hello@tandemcoach.co.
This Privacy Policy forms part of our Terms and Conditions. The Additional Terms and Conditions contain further rules for coursework, coaching recordings, and sensitive submissions.
Key Points
- We collect what we need to answer you, deliver what you bought, run our programs, keep the site secure, and understand how the site is used.
- We do not sell personal information for money. We do not use the content of coaching conversations or coursework for advertising.
- Card details are handled by our payment processors. Tandem does not receive or store complete card numbers.
- Some features use artificial intelligence to transcribe or analyze content you choose to submit. We tell you when a feature does this, and coaching recordings require consent before they are processed.
- Our site uses first-party analytics and advertising measurement for every visitor. You can unsubscribe from marketing email at any time and ask us to access, correct, or delete your information.
Information We Collect
Information you give us
- Contact and inquiry details: name, email address, phone number, organization, role, and the content of your message when you contact us, request a brochure or consultation, or join a waitlist.
- Email subscriptions: name, email address, the topics you choose, and where you signed up.
- Purchases and billing: name, email address, billing address, country, the offering you bought, price, discount or eligibility information (for example, proof of military status when you request that discount), installment schedule, invoices, and payment status. Your card or bank details go directly to our payment processor.
- Program participation: enrollment details, attendance, coursework, assessments, practice sessions, mentor-coaching and supervision records, completion records, and messages you send within our learning platform.
- Coaching engagements: information you share with your coach, scheduling details, and, for organization-sponsored coaching, the sponsoring organization’s contact and billing details.
- Recordings and transcripts: coaching or practice recordings and transcripts you submit for feedback, mentoring, assessment, or credential preparation. These may contain the voices and personal information of other people, such as your coaching clients.
- Tools and assessments: your answers to our interactive tools and assessments, and your email address if you ask us to send you a report.
- Feedback and testimonials: course ratings, comments, and testimonials. We publish a testimonial with your name only when the form you used says we may do so, or when you otherwise agree.
Please do not send us sensitive information, such as health details, that we do not need. If you choose to share it in a coaching session, recording, or submission, we use it only to provide the service you asked for.
Information collected automatically
- Device and usage information: IP address, browser and device type, operating system, screen size, language and time zone, pages viewed, links clicked, how far you scroll, the site that referred you, campaign parameters in the link you followed, and the date and time of your visit.
- Identifiers: cookie and browser-storage identifiers that recognize a returning browser, and a device identifier calculated from browser characteristics that helps us tell real visitors from automated traffic.
- Approximate location: country, region, and city estimated from your IP address. We do not collect precise location from your device.
- Security signals: information our security systems use to detect bots, fraud, and abuse.
If you give us your email address, for example by subscribing or buying, we may connect your earlier browsing on our site with your email address. This helps us understand which pages and programs you were interested in and send more relevant information.
Information from other sources
- Payment processors and invoicing providers, which confirm payments, refunds, disputes, and fraud checks.
- Our learning and community platform, which records account creation, logins, group membership, and course progress.
- An organization that buys coaching or training for you, which may give us your name, role, and work email address.
- Credentialing bodies such as the International Coaching Federation (ICF), when you ask us to confirm your training or when an accreditation review requires it.
- Public professional sources, such as a business website or professional profile, when we prepare for a business meeting you requested.
How We Use Information
We use personal information for the purposes below. If you are in the European Economic Area, the United Kingdom, or Switzerland, each purpose relies on the legal basis shown.
- To provide what you asked for — process orders and installment payments, create and manage your learning-platform access, deliver programs, coaching, mentor coaching, supervision, assessments, and certificates, schedule sessions, and send reports you request. Legal basis: performance of a contract, or steps you asked us to take before entering one.
- To communicate with you — answer inquiries and send receipts, schedule notices, access instructions, and service or policy updates. Legal basis: contract, or our legitimate interest in responding to you.
- To send marketing email — newsletters, program announcements, and follow-up messages about programs you showed interest in. Legal basis: your consent where the law requires it; otherwise our legitimate interest in telling people about related offerings. You can unsubscribe at any time.
- To understand and improve our site and programs — measure which pages and programs are useful, fix problems, and improve course design. Legal basis: our legitimate interest in understanding how our site is used and improving our services.
- To measure advertising — learn whether an advertisement led to a visit, sign-up, or purchase. Legal basis: our legitimate interest in understanding which marketing works.
- To keep our services secure — detect and block bots, spam, fraud, account sharing, and attacks, and protect paid materials. Legal basis: our legitimate interest in protecting Tandem, our participants, and our systems.
- To meet legal, accounting, and accreditation obligations — keep tax and financial records, answer lawful requests, keep training and completion records required by credentialing bodies, and handle disputes. Legal basis: legal obligation, or our legitimate interest in maintaining accredited programs and defending legal claims.
- To publish testimonials — with your name when you agreed to that use. Legal basis: consent.
Where we rely on legitimate interests, we have weighed those interests against your rights. You may object at any time, as described in Your Privacy Rights. Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect processing that already took place.
Providing personal information is voluntary. Some information is necessary to complete a purchase or deliver a program; if you do not provide it, we may be unable to do so.
Artificial Intelligence Features
Some Tandem features use artificial intelligence services provided by third parties:
- Coaching recording review. In mentor-coaching and assessment tools, recordings you submit may be transcribed by a speech-to-text provider (currently ElevenLabs) and analyzed by an artificial intelligence model (currently Anthropic’s Claude, with OpenAI as an alternative provider) to draft observations against ICF competency standards. You must confirm that you have the recorded client’s permission, and you must consent to this processing, before a recording is processed.
- AI coaching tool recommender. When you describe a coaching scenario in this tool, the description is sent to an artificial intelligence model to suggest a sequence of coaching tools. Do not include names or other details that identify your clients.
Artificial intelligence outputs support the judgment of Tandem’s mentor coaches and assessors. They do not replace it. We do not make decisions that produce legal or similarly significant effects about you based solely on automated processing. We do not use identifiable coaching recordings to train general artificial intelligence models. We choose providers and settings that do not use your submissions to train their general models. Our interactive article tools use fixed, pre-written rules and do not send your answers to an artificial intelligence model.
Cookies, Analytics, and Advertising Measurement
Cookies and similar technologies (such as browser local storage) store small pieces of information in your browser. We use them for the following purposes:
- Strictly necessary: remember your cookie choices (
tc_consent) and language preference (tc_language_preference); keep you signed in; keep checkout working; and let our content delivery and security provider, Cloudflare, distinguish people from malicious traffic. - Analytics: our own analytics system, which runs on our servers, records visits, pages, clicks, scroll depth, and referral sources using identifiers stored in your browser (names beginning with
_ct_or__chaos_). We send summaries of these events to Google Analytics, using a browser identifier (clientId), to produce traffic reports. Cloudflare also provides aggregate page-performance statistics. - Advertising measurement: when you arrive from a Google advertisement, we record the advertising click identifier and may report resulting sign-ups or purchases to Google Ads so we can tell which advertisements work.
- Embedded content: some pages include videos from YouTube. YouTube may set its own cookies when you play a video. Its privacy policy applies to that content.
Your choices. The analytics and advertising measurement described above run for every visitor to our site. You can limit them by blocking or deleting cookies and site data for tandemcoach.co in your browser settings, although parts of the site, including checkout, may then stop working. You can manage advertising personalization in your Google account. The Cookie Settings link in the site footer records your preferences for optional third-party tools; it does not turn off the first-party analytics and advertising measurement described above.
We do not currently respond to “Do Not Track” or Global Privacy Control browser signals.
How We Share Information
We share personal information only as described below.
Service providers
We use service providers that process personal information on our behalf, under contracts that limit their use of it to providing services to us. They include:
- Payments and invoicing: Adyen (card payments at checkout), Stripe (earlier checkout and some payment links), Plaid (bank payments for invoices), Plutio (invoices and billing records), and a payment-reporting provider that reconciles processing fees. Payment processors may also act independently to meet their own fraud-prevention and legal obligations.
- Learning and community platform: Heartbeat, which hosts community.tandemcoaching.academy, our courses, and our participant communities.
- Email: Encharge (marketing and program email), Google Workspace (our business email and documents), and email-delivery providers that send account and report messages.
- Email address validation: Reoon, which checks that an email address entered on our forms can receive mail.
- Sign-in and customer records: Google Cloud (Google LLC), which runs our account sign-in service at app.tandemcoach.co and hosts, in the United States, our central record of the people we work with, such as prospective clients, customers, students, and coaches, including the programs and tools each person can access.
- Website hosting and security: our web hosting provider, Cloudflare (content delivery, security, and performance), Bunny.net (images and files), and jsDelivr (the software library that displays our cookie controls).
- Analytics and advertising measurement: Google (Google Analytics and Google Ads).
- Artificial intelligence and transcription: Anthropic, OpenAI, and ElevenLabs, as described in Artificial Intelligence Features.
- Scheduling, video, and feedback tools: the booking, video-meeting, and survey tools we use to schedule sessions, hold live programs, and collect course feedback.
Some of our internal workflow tools, including our analytics system and our automation server, run on infrastructure we operate ourselves rather than a third-party service.
Other disclosures
- Sponsoring organizations: when an organization pays for your coaching or training, we share the information described in that engagement, such as enrollment, attendance, and completion. We do not share what you discuss with your coach unless you agree, or unless the law or a serious safety risk requires it.
- Credentialing and accreditation bodies: we share training and completion records with the International Coaching Federation or a similar body when you ask us to, or when an accreditation audit of our programs requires it.
- Google, for advertising measurement: as described in Cookies, Analytics, and Advertising Measurement.
- Legal and safety reasons: when we believe in good faith that disclosure is required by law or legal process, or is needed to protect the rights, property, or safety of Tandem, our participants, or others, including to prevent fraud.
- Business transfers: if Tandem is involved in a merger, acquisition, financing, or sale of assets, personal information may transfer to the new owner, which must honor this policy for the information it receives.
- With your permission: in any other case where you ask us to share information or agree that we may.
Payment processors, our learning platform, and video platforms also have their own privacy policies. They apply when you deal with those companies directly, for example when you sign in to their services.
Email and Other Communications
We send two kinds of email:
- Service messages about something you requested or bought: receipts, installment notices, access instructions, schedules, reports you asked for, and changes to your program or our policies. These are part of providing the service. You cannot unsubscribe from them while the service is active.
- Marketing messages, such as newsletters and program announcements. Every marketing email contains an unsubscribe link and a link to manage your preferences. A request to email you a one-time report does not subscribe you to marketing.
If you start checkout but do not finish, we may send a reminder about the unfinished order. Where the law of your country requires consent for these reminders, we send them only if you opted in at checkout.
Our emails may record whether a message was opened and which links were clicked. We use this to measure interest and avoid sending messages people do not want.
International Transfers
Tandem is based in the United States, and our service providers process information in the United States and other countries. Those countries may not have the same data-protection laws as the country where you live.
When we transfer personal information from the European Economic Area, the United Kingdom, or Switzerland, we rely on one of the following: an adequacy decision, including the EU-U.S. Data Privacy Framework and its United Kingdom and Swiss extensions where the recipient is certified; the European Commission’s Standard Contractual Clauses or the United Kingdom equivalent, included in our providers’ data-processing terms; or, where no other mechanism applies, the transfer being necessary to perform the contract you asked us to enter. You may ask us for more information about the safeguard that applies to a particular transfer.
How Long We Keep Information
We keep personal information only as long as needed for the purpose we collected it for, and then delete it or de-identify it. In particular:
- Purchase, invoice, and tax records: for as long as tax, accounting, and payment-network rules require.
- Training and completion records: for as long as you might need proof of training for a credential or renewal, and as long as our accreditation standards require.
- Coaching recordings and sensitive submissions: for delivery, assessment, quality assurance, appeals, authorized accreditation review, security, and legal obligations, as described in the Additional Terms, and then deleted or de-identified.
- Marketing contact records: until you unsubscribe or ask us to delete them, or until they have been inactive for a long period. After you unsubscribe, we keep your email address on a suppression list so we do not email you again.
- Analytics and security records: for as long as they are useful to understand trends and protect our services.
- Inquiries and correspondence: for as long as needed to answer you and keep a record of our relationship.
We may keep information longer when the law requires it, or to establish or defend legal claims.
Security
We use administrative, technical, and physical safeguards appropriate to the information we handle. These include encrypted connections, access limited to people who need it, security monitoring, bot and abuse protection, and payment processors that meet payment-card security standards. No system is completely secure. If a security incident affects your personal information, we will notify you and the relevant authorities when the law requires it.
Our security systems may automatically block traffic that looks automated or abusive. If you believe you were blocked by mistake, contact us at hello@tandemcoach.co.
Your Privacy Rights
Wherever you live, you may ask us to:
- confirm whether we process your personal information and give you a copy of it;
- correct information that is inaccurate or incomplete;
- delete your information;
- give you your information in a portable format;
- stop or limit certain processing, or object to processing based on our legitimate interests or used for direct marketing;
- withdraw a consent you gave.
Some rights have legal exceptions. For example, we may keep records we are legally required to keep, or information needed for an ongoing dispute. Deleting your information can end your access to programs and records. Canceling a subscription is different from deleting your account or information.
How to make a request
Email hello@tandemcoach.co with the subject “Privacy request” and tell us what you are asking for. We will confirm receipt and respond within the time required by applicable law, generally within one month (or 45 days where United States state law applies). We may extend that period when the law allows, and we will tell you if we do.
To protect your information, we will verify your identity before acting on a request, usually by confirming that you control the email address we hold for you. An authorized agent may make a request for you if they provide written authorization, and we may still ask you to confirm your identity. We will not discriminate against you for exercising your privacy rights.
If we decline your request, we will explain why. You may appeal by replying to our decision with the subject “Privacy appeal”. We will respond to the appeal within the time the law requires.
European Economic Area, United Kingdom, and Switzerland
You have the rights listed above under the General Data Protection Regulation (GDPR), the United Kingdom’s data-protection law, and the Swiss Federal Act on Data Protection. You also have the right to lodge a complaint with the data-protection authority where you live or work, or where you believe a violation occurred. We would appreciate the chance to address your concern first.
Brazil
Under Brazil’s General Data Protection Law, you may also request information about the public and private entities with which we share your data, and information about the consequences of refusing consent. You may complain to Brazil’s National Data Protection Authority.
Additional Disclosures for United States Residents
Several United States states, including California, give residents specific privacy rights. This section describes the categories of personal information we collected and disclosed in the past 12 months. Your rights are described in Your Privacy Rights.
- Identifiers (name, email address, phone number, IP address, and online identifiers): collected from you, your devices, and our partners; disclosed to service providers and, for advertising measurement, to Google.
- Customer records and commercial information (billing address, purchase history, payment status): disclosed to payment, invoicing, email, and cloud hosting service providers.
- Internet or other electronic network activity (pages visited, clicks, referral sources): disclosed to analytics service providers and, for advertising measurement, to Google.
- Approximate location derived from IP address: used for analytics, security, and to show country-appropriate information. We do not collect precise geolocation.
- Audio and electronic information (coaching recordings and transcripts you submit): disclosed to transcription and artificial intelligence service providers for the features you use.
- Professional and education information (organization, role, credential goals, coursework, and completion records): disclosed to service providers, sponsoring organizations as described above, and credentialing bodies when you ask us or an accreditation audit requires it.
- Limited inferences (for example, the programs you seem interested in, based on the pages you viewed): used to tailor our emails.
Some information you provide may be sensitive under state law, such as account login credentials, the contents of messages, or health information you choose to share in coaching. We use sensitive personal information only to provide the services you requested, to keep our services secure, and for other purposes the law permits. We do not use it to infer characteristics about you.
Sale and sharing. We do not sell personal information for money. Reporting advertising results to Google may count as “sharing” for cross-context behavioral advertising or “targeted advertising” under some state laws. Where such a law applies to Tandem and gives you a right to opt out, send your request to hello@tandemcoach.co and we will respond as that law requires. We do not knowingly sell or share the personal information of anyone under 16.
Children
Our services are intended for adults. We do not knowingly collect personal information from children under 13, or from anyone under the age at which parental consent is required where they live. If you believe a child has given us personal information, contact us and we will delete it. Coaching or training involving a minor takes place only under a written arrangement with an authorized adult, as described in our Terms and Conditions.
Changes to This Policy
We may update this Privacy Policy when our practices or the law change. The current version and its effective date will always be posted on this page. If we make a material change, we will give notice on our website or by email before the change takes effect, where the law requires it. Earlier versions are available on request.
This Privacy Policy is written in English. If we provide a translation and the two versions differ, the English version controls to the extent applicable law permits.
Revision History
- Replaced the externally generated and embedded privacy policy with a Tandem-hosted policy that reflects our current payment processors, analytics and advertising measurement, email systems, sign-in service and customer-record hosting, and artificial intelligence features, and aligned it with the Terms and Conditions and Additional Terms.
