Planning Before Responding

Most leaders don't plan their weeks - they respond to them. The schedule fills with meetings booked by others, priorities shift based on what's loudest rather than what matters most, and by Thursday the important work that doesn't have a meeting attached to it still hasn't been touched.

Weekly time-blocking works when it's done before the week begins, not reconstructed on Friday to understand where it went. The planner on the next page creates the container first - then you protect what goes inside it. The goal section at the bottom is the anchor: without knowing the three most important outcomes for the week, the hour-by-hour grid has no spine.

Fill in goals before filling in the grid. That sequence changes what the schedule looks like.

How to Use This Worksheet

  1. Before opening the grid, write your top three goals for the week in the bottom-left section. These are outcomes, not activities - "Complete Q3 review draft" not "work on Q3 review."
  2. Block your non-negotiables first: deep work, standing commitments, recovery time. Mark these before any other meetings land.
  3. Fill the grid with planned activities for each time slot. Treat empty cells as decisions, not gaps - either decide to protect the time or consciously allocate it.
  4. Use the Key Moments and Notes columns at the bottom to capture what you want to remember from the week, not just what you planned for it.
  5. At week's end, answer the "Did I achieve my top 3 goals?" question. If the answer is no, look at where the grid differed from what you planned, not at your effort level.
