Making the Day Intentional

The difference between a productive day and a busy one is usually decided before 9am. Without a clear structure, most professionals spend their day reacting - responding to whatever appears most urgent, putting out fires, and moving from meeting to meeting without a clear sense of what actually moved the needle.

This checklist splits your day into two tracks. The Must Do column holds your non-negotiables - the two to three tasks that, if completed, make the day a success regardless of everything else. The Should Do column holds important work that can flex around interruptions. Both columns together give you a complete daily picture, but the hierarchy is built in from the start.

At the end of the day, one question settles whether it was a productive day or a busy one: did you accomplish your most important outcome?

How to Use This Checklist

  1. Set your single most important outcome first. Before filling in either column, write one sentence describing what "winning today" looks like. This anchors everything else.
  2. Fill Must Do with your top priorities. Limit to tasks that are non-negotiable for the day - no more than 8. If everything is must-do, nothing is.
  3. Fill Should Do with your secondary priorities. These matter, but can shift if the day changes shape. Use this column for important work that has flexibility.
  4. Check items off as you complete them. Visible progress during the day helps maintain momentum through interruptions.
